Marketing, Utility, Authentication and Service, The Four Message Categories

Why they exist in the first place

Meta does not charge the same price or impose the same restrictions per each WhatsApp message sent via an API. Instead, every message sent falls under a category and the restrictions and pricing are defined on this basis. Most importantly, the categories differ in their approval requirements. For instance, some require prior opt-in from the recipient, while others do not. Knowing which category a message would fall under is useful for both the pricing and the approval process, thus it is a good idea to understand how they work rather than leave this task to your chatbot builder

Marketing

This is the category most businesses think of when it comes to WhatsApp marketing. It includes all kinds of promotional and transactional announcements, notifications of new products or special offers, seasonal broadcasts, and general announcements. It is also the category for which you need the most consent and which has the strictest approval rules. Marketing messages are great for getting your business in front of customers, but sending them to an unsegmented list is a) the most expensive and b) a great way to damage your message quality score.

Utility

This category is for transactional messages only. This includes order and delivery confirmation, appointment reminders, and payment receipts. These are messages directly related to a transaction which the recipient requested. Because of that, they are much less restricted and cheaper compared to marketing messages. It is also the category most businesses send the largest number of messages in, once they set up their order or delivery confirmation automation.

Authentication

A very straightforward category for one-time passcodes and verification codes. Authentication templates have a specific format to make it easy for the recipient to copy the code and complete the verification. The instructions that come with the code are usually shortened to make the whole process faster. This category is described in more detail in the guide on WhatsApp OTP API, since it requires a specific setup.

Service

All service-related messages sent to the users who have messaged your business in the first place, within a twenty-four hour frame fall under this category. With service messages, you can send longer texts, images, and buttons, without needing any specific WhatsApp template. It is the cheapest category to use, in some cases even free, but it is also the most limited in terms of timing. You can only send service messages if they are a reply to a user-initiated message within a 24-hour frame.

Why this actually matters

Misunderstanding the nuances of the categorization usually leads to one of two issues. The first is businesses budgeting incorrectly, because they are spending money on Marketing category messages, when a cheaper Service category message would be appropriate. The second scenario is businesses trying to send a message in the Service category when it is not possible, resulting in a failed delivery attempt, because no such message was approved in the Marketing category. Knowing the differences between the categories helps avoid both issues.

Where to go from here

If there is one part of this guide that needs more clarification or you wish to understand it better, it is the Service category and the 24-hour rule. That is why it has its very own detailed guide which explains when the free reply window is available and what happens when it closes.
